Edlen is seeking energetic collaborators to join the Event Services team in Atlanta, GA. This position is onsite at the Georgia World Congress Center. Remote or Hybrid work is not available since this is a customer facing role.

SUMMARY : The Event Services Coordinator I is an entry level position. Primary responsibilities include obtaining and coordinating the information required to provide temporary utility services for trade shows, conventions, productions and special events.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Provide exceptional, forward-facing customer service to all internal and external customers, including exhibitors, colleagues and facility personnel.

Create and maintain event files, both via TEAMS and hard copies.

Create order forms and exhibitor kit flyers and save in the appropriate File Explorer/TEAMS files.

When requested, update event hours in Edlen’s proprietary Event Management Program (EMP).

Once obtained, import current and up-to-date exhibitors lists into EMP; enter individual exhibitor information and update as necessary.

Enter and process exhibitor utility orders received via email, mail and through on-line ordering.

Schedule and run the following reports with the following frequencies:

Orders Report – Daily.

Floor Plan Attachments Report – Weekly.

Collect payment for services before and during events.

Review and request additional information from exhibitors to meet their electrical needs prior to arrival onsite using EMP and notifications, updating order issues appropriately.

Mark utility orders to the floor plan and update when necessary.

Create exhibitor work orders once all information is received.

Provide customer service onsite at exhibitor service desk to ensure successful installation and tear- out.

While onsite, process new and revised orders, collect funds and create work orders.

Onsite distribution of “no order” on file notices and final invoices.

Prepare exhibitor booth check (utilization audit) for electricians; enter audit details upon receipt for collection.

Enter all completed exhibitor work orders at show site.

Make any necessary corrections following event audits, as needed.

Upon completion of the event, scan work orders and any other onsite paperwork into the appropriate event file in File Explorer/TEAMS.

Maintain awareness of safety and risk management compliance, proactively addressing hazards and promptly reporting any irregularities to management (DES/AGM/GM).

 

EDUCATION and/or EXPERIENCE: High School diploma or general education degree (GED); or one-year related experience and/or training; or equivalent combination of education and experience.

 

QUALIFICATIONS:

LANGUAGE SKILLS: Ability to read and interpret documents such as procedure manuals, work instructions, software manuals. Ability to write routine reports and correspondence. Ability to speak and communicate well with co-workers and customers.

 

MATHEMATICAL SKILLS : Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

 

REASONING ABILITY : Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with issues involving several concrete variables in standardized situations.

 

OTHER SKILLS AND ABILITIES: Must be familiar with current software packages such as Microsoft Word, Excel and Outlook. Ability to pay attention to detail while working in a fast-paced office and convention center, hotel or fairground environments.

May include lifting up to 25 pounds of files on occasion.

The performance of this position may occasionally require exposure to cold and hot temperatures, depending on the job location (convention center, hotel or fairgrounds). For the most part the typical office environment includes ambient room temperatures, lighting and traditional office equipment.

 

HOURS: Working early mornings, evenings, weekends and holidays are required to prep and service events. Due to the last-minute nature of the work schedules are subject to change with very little or no notice.

 

TRAVEL: The amount of travel is dependent upon business needs.

 

TRANSPORTATION: Reliable transportation is required due to varied hours and work locations.
