About the Company

100x is seeking a highly organized and detail-oriented Project Coordinator to join our team. This entry-level position will support 100x Presents Producers across multiple events and projects, helping to ensure smooth planning and execution. About the Role

The Project Coordinator will play a crucial role in supporting the Project Management team with various tasks related to event planning and execution.

Responsibilities

  • Support the Project Management team with administrative and operational tasks related to event planning and execution
  • Assist with the creation, communication, and maintenance of project management timelines, run-of-show documents, budget tracking, and vendor tracking
  • Coordinate vendor contracting
  • Organize and maintain event files, documents, asana projects and internal system
  • Coordinate department needs via advance platforms, assist with development and communication of these platforms
  • Assist with staffing plan review, advance, and hiring
  • Organize team calls and agendas
  • Participate in internal meetings and take notes to track action items and deliverables
  • Organize site visit planning, travel, and agenda
  • Help with onsite event support, including setup, check-in, and general logistics
  • Maintain a strong attention to detail and anticipate team needs
  • Provide general administrative support to the Project Management team as needed

Qualifications

  • Bachelor’s degree or equivalent experience in event production, hospitality, entertainment, or related field
  • Excellent organizational and time management skills
  • Clear and professional written and verbal communication
  • Strong proficiency in Google Workspace (Docs, Sheets, Slides, Drive)
  • Ability to manage multiple tasks in a fast-paced, deadline-driven environment
  • Willingness to travel and work long hours during event execution
  • A positive, proactive attitude and strong desire to learn
  • Interest in live events, music, hospitality, and production a plus
